Frequently asked questions about the SAP Business One and Agicap integration

Is the SAP Business One and Agicap integration secure?

expand

Yes. Data exchanged between SAP Business One and Agicap is encrypted. If SAP is installed on your servers, the Agicap connection agent sits on your SAP server and opens the connection itself, so no inbound access is opened on your network. Agicap stores your SAP credentials encrypted and only uses them for syncs.

Which versions of SAP Business One are compatible with Agicap?

expand

The connector works with SAP Business One from version 10. Full coverage, including due date calculation for invoices payable in instalments, requires version 10.0 Feature Pack 2011 or later. Your SAP partner can check your version. All installations are supported, on-premise or in the cloud.

Do we need to install software on our SAP server?

expand

Yes, if SAP Business One is installed on your own servers: your IT team installs an agent provided by Agicap, which handles the connection. If SAP is hosted in the cloud, there is nothing to install: your SAP partner simply authorises Agicap to connect.

Who is involved in the setup, and how long does it take?

expand

Three parties are involved: your IT team or SAP partner prepares the server and the SAP account, your finance team validates the imported data and the Agicap team supports you throughout. Once the prerequisites are met, the first sync takes 10 to 20 minutes.

How often is SAP Business One data updated in Agicap?

expand

Invoices, the chart of accounts and third parties sync automatically at least once a day. Bank statements and the purchase journal are exported to SAP at regular intervals and can also be sent manually. The bank journal is sent on demand from Agicap.

How do you pay suppliers with Agicap when you use SAP Business One?

expand

You prepare your payments directly in Agicap’s Payments module, based on the suppliers and beneficiaries imported from SAP Business One. You then approve them and send them to your banks. Payment files generated in SAP are not transferred to Agicap. Once payments are reconciled, you export the bank journal to SAP from Agicap.

How are supplier invoices handled with SAP Business One and Agicap?

expand

Agicap imports supplier invoices from SAP Business One, with their due dates and PDFs, to feed your cash flow forecasts and prepare payments. Invoices captured by OCR in Agicap can also be exported to the SAP Business One purchase journal, with their PDFs.

What happens if the API connector cannot be activated?

expand

If a technical constraint prevents the API connector from being activated, Agicap sets up a secure file exchange (SFTP) so your project can continue. The API connector remains the preferred solution and is set up as a priority as soon as the prerequisites are met.

Is there a charge for the SAP Business One integration?

expand

No. The SAP Business One connector comes at no extra cost for Agicap customers. On the SAP side, you only need a dedicated account with a Professional or Indirect Access licence. Your IT team or SAP partner handles its creation, rights and server access.
